Terms and Conditions
Terms and Conditions below are the basis of the contractual relationship between Westholiday and its clients. Please read the following terms carefully. By booking a trip, you agree to be bound by these Terms and Conditions, and indicates acceptance of these Terms and Conditions.
- Upon receiving your booking request, your travel advisor of Westholiday will start to assist you in building a satisfactory trip plan according to your needs and requirements within 24 hours.
- Upon the receipt of your deposit, your reservation is secured. We will process your final booking immediately.
- It is highly recommended to make your reservation 30 days prior to the actual departure date especially for the busy season from July to September.
- Once your booking confirmed, we will send you a confirmation letter informing you with the final details of flights, hotels, and tours etc. If any conditions have to be changed after the confirmation, Westholiday reserves the right to make changes and provide you with the similar alternative options.
We accept three ways of payment. Detailed payment guide will be sent to you through email by your personal travel advisor.
- Paypal (With or Without Paypal Account)
- Western Union Transfer
- Wire transfer (Regular Bank Transfer)
* Note about the exchange rate:
The quote we provide is in RMB, the equivalent quote in USD is based on current exchange rate between the RMB and the USD. Due to the fluctuation of the exchange rate, the quote in USD is subject to slight change, while the quote in RMB still remains the same.
DEPOSIT AND BALANCE
Booking made 60 days prior to departure, 30% of the total tour cost plus the airfare and train fare is required, and the balance should be paid 15 days prior to departure.
Booking made 30 days prior to departure, 50% of the total tour cost plus the airfare and train fare is required, and the balance should be paid 15 days prior to departure.
Booking made 15 days or less prior to departure, a full payment is required.
CANCELLATION REFUND POLICY
Should you need to cancel your tour or any portion thereof, your cancellation must be received in writing. Cancellation refunds will be calculated as of the cancellation date which will be effective on the date of receipt by Westholiday.
More than 30 days prior to departure: $50 per person
30 to 21 days prior to departure: $150 per person
20 to 11 days prior to departure: 30% of the tour price
10 to 5 days prior to departure: 50% of the tour price
5 to 0 days prior to departure or NO-SHOW travelers: 100% of the tour price
We are unable to refund any amount for unused services due to your early departure, late arrival, or missed days on tours once the trip commences.
ALTERATION OF ITINERARY
It’s our mission and hornor to provide the perfect tour for you as possible as we can. Before your booking confirmed, alterations to your itinerary are unlimited, and the process is free of charge. We also provide service free of charge if there’s alternation to your itinerary after you’ve received your booking confirmation letter. However, changes to departure date or destination may incur cancellation fees. All changes are subject to availability and cannot be guaranteed.
Westholiday reserves the right to modify the itinerary of your tour if air or train schedule or surface transportation changes, and/or events beyond its control make such alterations necessary. In this event, any of the increase or reduction of the tour cost will be calculated and charged/ refunded accordingly. If it is you who request the changes to your tour, then you will be required to pay any additional cost accordingly in advance.
A valid passport with necessary Chinese visas are required for you traveling on our programs. All such documentation is the sole responsibility of yours, though your travel advisor may assist you in applying for the necessary travel documentation upon your request. Westholiday accepts no responsibility or liability whatsoever for your failure to obtain appropriate documentation.
If you book the Tibet Tours with us, Westholiday is responsible to help you get necessary Tibet Permit such as Tibet Entry Permit (TTB), Alien Travel Permit (PSB), or Military Permission.
To travel to Tibet, special entry permits are required. Please read carefully about how to get the Tibet travel permits.
According to the regulations of the General Administration of Civil Aviation of China, for the domestic flight, any passenger holding an adult or child fare ticket is entitled to the free baggage allowance of 40kgs (88 lbs) for first class, 30kgs (66 lbs) for business class, and 20kgs (44 lbs) for economy class. One bag is allowed free of charge for infants with the maximum dimensions no more than 115cm (45 inches), In addition, a baby stroller (if able to fold) or carrying basket may be checked free of charge. Excess baggage charges are the sole responsibility of yours. There’s an excess baggage charge if the bags exceed the weight limit specified. The excess baggage charge per kilogram is 1.5% of the highest normal direct adult one way (Y class) fare.
Regulations within China specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft. The following items should not be packed in checked baggage. If a loss of these items occurs due to a passenger breach, the Airlines will not be held liable and will only compensate lost baggage according to their lost baggage policies.

You must advise us in writing, at or prior to booking, of any physical, emotional or mental condition which may require professional attention during the trip or may require the use of special equipment. If you require a wheelchair, you must provide your own small, collapsible wheelchair. Certain features, and certain trips, are not wheelchair-accessible. We cannot guarantee any wheelchair assistance or accessibility in international destinations. Westholiday reserves the right to decline any trip participant whose condition, in our opinion, may affect the health, safety or enjoyment of other participants. Additionally, should a tour participant require or request medical attention during the trip, such attention will be provided by locally available health care officials and at locally available facilities. In such events, Westholiday will not be responsible for health service costs incurred nor in the quality of medical care or medical services rendered.
Westholiday offers Tourist Accident/Casualty Insurance free of charge as part of our package. You are still highly recommended to purchase full coverage travel insurance from you country of origin. Insurance provided by Westholiday is not applicable where only hotel or flight are purchased through Westholiday.
LIABILITY & RESPONSIBILITY
Westholiday shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond Westholiday’s control. Neither Westholiday nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes. The owners, operators and charters of all vessels and transports, i.e. suppliers are independent of Westholiday. Our relationship with these suppliers is that of an independent travel agent. Westholiday makes no representations or warranties concerning the suppliers and we assume no liability for any acts or omissions of any supplier including, without limitation, those involving cancellation of tours/cruises, schedule changes, re-routings, delay, damage or loss of baggage, property damage, equipment failures, accidents, death or injuries to persons regardless of cause, whether or not any tours sold, services tendered or transportation provided is arranged through Westholiday. Accordingly, you will not have any right to claim or recover against Westholiday as a consequence of any negligent or willful act or failure to act of any suppliers or the condition or operation thereof. Notwithstanding anything herein to the contrary, the liabilities and obligations of the suppliers to you, and your rights against the suppliers, are subject to any and all terms and conditions of the suppliers’ contract of carriage and any and all governmental laws and regulations bearing upon or otherwise relating to such rights, liabilities and obligations, including, without limitation, choice of law, jurisdiction of disputes, limitations of liability and limitations on the time to file claims. By utilizing the travel services of the suppliers, you agree that you will look to such suppliers for any accident, death, injury, property damage, or personal loss to you or to those traveling with you, and that neither Westholiday nor any representative of Westholiday shall have any liability whatsoever. No person, other than an authorized representative of Westholiday by a document in writing, is authorized to vary, add or waive any term or condition herein, including any term or condition set forth in the preceding provisions. Many of Westholiday’s tour packages include activities that require care attention. Such activities include climbing hills, strenuous trekking, rafting and entering and exiting tombs and caves etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. Westholiday, its employees and agents cannot be responsible for any action or event that occurs after its employees and agents have exercised their duty and taken the necessary care.
REPORTING OF INCIDENTS
Any abnormal incidents including injuries, service problems, cancellation of a service or dissatisfaction must be reported to Westholiday during the event to allow us an opportunity to rectify the situation or provide assistance immediately. If you want to complain or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 10 days upon your finish of your tour. Please attach relevant receipts and substantiating evidence to the letter of claim. Westholiday will not be liable for any claims made later than 10 days after you finish your tour.
